May 20, 2004
University of Toronto
Toronto, Canada

The meetings of the MVL-TC Executive and Symposia Subcommittees were scheduled consecutively over the lunch break on the first day of ISMVL-2004 with the members of both subcommittees invited to attend both meetings.

Present: M. Perkowski (Chair), T. Aoki, B. Falkowski, G. Dueck, G. Gulak, T. Hanyu, H. Machida, M. Miller, C. Moraga, T. Sasao, A. Sheikholeslami, D. Simovici, K.C. Smith, T. Waho, S. Yanushkevich, Y. Yuminaka

The meeting began at 13:00.

ISMVL-2003 Tokyo

T. Waho reported on ISMVL-2003 held May 16-19 in Tokyo. There were 104 participants including 21 IEEE student members. 54 of 73 (74%) contributed papers were accepted and there were three invited talks. Paper awards for ISMVL-2003 will be presented at the ISMVL-2004 banquet. An IEEE Computer Society Certificate of Appreciation was presented by T. Sasao at ISMVL-2003 to T. Higuchi.

ISMVL-2004 Toronto

A. Sheikholeslami reported there are 90 participants. 53 of 87 (61%) contributed papers were accepted with authors from 16 countries. The strongest representation is from Japan. There are two invited talks.

There was a lengthy discussion of the policy enforced this year which required one symposium registration per accepted paper. The Secretary read the following excerpt from the May 2003 Symposium Subcommittee Minutes from the meeting in Tokyo:

There was a discussion of how to ensure authors appear. It was decided to continue to require that one of the authors for each contributed paper must have paid a full registration before the paper will be published. The only exception will be the case of a paper authored solely by students in which case a student registration will have to have been paid.
It was agreed that the policy enforced this year was a misinterpretation of the above. It was also agreed that those who had paid multiple registration fees should be reimbursed and that if this presents a financial problem for ISMVL-2004 this should be covered by surplus funds remaining from ISMVL-2000.

It was suggested that a study should be made to see if multiple papers per author has been a really significant problem in the past.

A. Sheikholeslami noted that at least two papers were not properly reproduced in the proceedings and that the problem appears to be how the Computer Society Press dealt with WORD files that they required in preference to PDF. He indicated that he will raise the issue with the Computer Society and will ensure the correct versions appear on the MVL proceedings DVD and on the IEEE on-line explorer system.

ISMVL-2005 Calgary

S. Yanushkevich presented the plans for ISMVL-2005 to be held in Calgary May 19-21. It will be preceded by the ULSI Workshop on May 18. Plans include an excursion to Banff which will likely be on the Friday afternoon. The symposium will be held on the University of Calgary campus. There are quite reasonably priced hotels near the campus.

Calgary was approved for ISMVL-2005 a year ago so the presentation at the Plenary Session will be for information.

ISMVL-2006 Singapore

B. Falkowski indicated he is interested in hosting ISMVL-2006 in Singapore. He has promises of financial support from Nanyang Institute of Technology, IEEE Singapore and the Singapore Chapter of the Computer Society. There is also likely to be support by the Institute for Infocom Research. The Singapore Tourism Board may also provide support. Location has not been decided but suitable new conference facilities are available.

A proposal will be presented for consideration for approval at the ISMVL-2004 Plenary Session.

Future Sites

M. Perkowski indicated he had been contacted by e-mail by M. Thornton, who could not attend this year, to indicate interest in hosting ISMVL in Dallas in 2007. Other potential locations are in Okinawa and Romania. It was mentioned that E. Dubrova may be interested in hosting ISMVL in Sweden but no actual communication to that effect has been received. After brief discussion, it was decided that the provisional list of future locations should be NOTE: TC policy is not to approve a location more than two years in advance to ensure those interested in hosting ISMVL have a fair chance to be considered.

The meeting adjourned at 13:45.
